About HardFM
HardFM works the arithmetic a workplace team has to produce before it can argue about a floor, and then keeps the four tables that arithmetic came from. The three free worksheets take your own headcount, desk ratio, areas, allowances and attendance counts and return what a facilities or workplace manager otherwise estimates: how much space a headcount needs and what it comes to per person, how much of the floor is actually used once the counts go in, and how many desks a return-to-office rule needs on its busiest day rather than its average one. Each one computes on the page with no account. The paid plan keeps what the worksheets describe: the inventory of floors, rooms and desks with their areas and uses; the desks with shared and assigned marked and each booking as one person on one desk on one day; the attendance week by week; and the contractors cleared per building with their insurance, induction and expiry dates.
Why this site exists
This site exists because the figure that decides a floor is almost never the figure anybody has. A workplace manager is asked how full the building is and can answer with a headcount, which does not survive the next question; asked how many desks a three-day rule needs, most answer with the average day, when the decision turns on the day everybody picks. Both are small divisions on counts the organization can take in a month, and having them turns a conversation about a lease, a layout or a policy into a negotiation about a number rather than an argument about whether it feels busy.
Who it is for
The facilities or workplace manager of a US organization running its own floors, desks and site access, with a hybrid rule to test and a folder of contractor certificates that has stopped fitting in one person's head
Not the maintenance manager, whose asset register and work orders are the neighbouring product at fmlane.com, and not the front desk, the room booker, the office administrator, the procurement team or the property manager
What it does not do
- No published utilization target and no square-feet-per-person benchmark. Every figure a worksheet returns comes from inputs you typed, because an allowance copied from somebody else's estate is the input most likely to be wrong, and the one external space figure on this hub is named as what it is: a design requirement the U.S. General Services Administration binds federal offices to, not a target for yours.
- No opinion on what a contractor must hold. What insurance, induction, background check or clearance is required before somebody is on your site is your organization's, your insurer's and your counsel's decision, and a regulator's where one applies. HardFM records the rule you set and whether each contractor meets it, and never tells you what the rule should be.
- No HR policy and no productivity measurement. Who must be in and on which days belongs to HR and counsel; what people do at the desk is not measured here and is another product's business. HardFM works the desk arithmetic under whatever rule is chosen and keeps the counts that show whether it held.
- No maintenance record, no room booking, no visitor kiosk and no hardware. Assets, work orders and the preventive schedule are the neighbouring hub's; rooms, visitors and sensors are other products', and the counts a sensor produces are inputs HardFM takes rather than hardware it sells.
What is on this site
3 free tools, each working its figure on the page with no account, and HardFM Pro that keeps the record. All tools · Pricing.
- Office space per person calculator: Work the space a headcount needs: the desks from your sharing ratio, the desk area, the meeting and support space, the circulation allowance, and the square feet per person that falls out.
- Space utilization worksheet: Set the attendance against the desks: average and peak utilization, the desks the busiest day needs, the spare, the square feet per person actually in, and the sharing ratio the attendance supports.
- Return to office policy template: Test the rule against the desks: people in on an average day, on the clustered day, the desks short, the sharing ratio the policy implies, and the days a week the desks could actually support.
What HardFM Pro keeps
The worksheets are free forever. Pro turns them into the record: every space and desk kept against the building with who is booked into it, the occupancy the floor sees week by week, every contractor cleared to be on site with the insurance, the induction and the date each expires, and every worksheet you save reopened under your own name.
