Every figure on this page is computed from the inputs entered, by the method stated below it. HardFM publishes no space standard, no square feet per person that any body recommends, no attendance rate and no insurance requirement: the desk ratio, the area per desk, the circulation allowance, the attendance and what a contractor must hold are your organisation's own figures and rules.

A desk booking app is what a workplace manager searches for on the day the desks stop being one per person: the office has 140 desk positions, 180 people are assigned to it, and nobody knows on Sunday night whether Tuesday will be short. What the app has to hold is the desk list with which desks are shared and which are kept assigned, who is booked into each desk on each day, and the count that falls out of that, how many people came in on the average day and on the busiest one, because that count is the utilization figure every space decision afterwards depends on. This guide walks what a desk booking app has to keep and work, and the free space utilization worksheet on this site sets your attendance against your desks and returns the utilization, the spare desks and the sharing ratio the attendance supports, with no account.

The desk list: which desks exist and which are shared

Every desk position on every floor, whether it is bookable or kept assigned, and what it is near. The worksheet takes the count of desks; the app keeps the list the count comes from, so a desk taken out of service leaves the arithmetic as well as the floor.

The bookings: who is in, on which desk, on which day

A booking is one person on one desk on one day. Filed against the desk rather than in a calendar, the bookings become the attendance record: how many were in on Tuesday, how many on the busiest day of the month, which desks are never booked and which are fought over.

The count: attendance against desks, average and peak

Attendance over desks is the utilization; peak attendance is the number of desks the office actually needs; desks less peak is the surplus. The worksheet works all three from your own counts and the app keeps the counts week by week so the trend is measured rather than argued.

Desk booking app: common questions

What does a desk booking app need to keep?

The desk list with which desks are shared, the bookings of who is in on which desk on which day, and the attendance counts that fall out of them: average, peak and the desks never used. HardFM Pro keeps all three against the building; the free worksheet works the utilization from your own counts.

Is there a free desk booking app?

The space utilization worksheet on this site is free and needs no account: enter desks, headcount, average and peak attendance and the floor area, and it works the utilization, the spare desks, the square feet per person actually in and the sharing ratio. Keeping the desks and the bookings is HardFM Pro at $24 a month for the whole team.

Does HardFM book meeting rooms or sign in visitors?

No. Room booking and visitor sign-in are other products with other buyers, and HardFM does not do either. It keeps the desks, who is booked into them, the occupancy the floor sees and the contractors cleared to be on site.
